1. Our Small Business Philosophy
At sophroneoclothing, we aren't a high-volume "fast fashion" warehouse. We are a small, independent team that pours time and care into every hoodie. Because we carry limited stock, every return has a significant impact on our ability to grow and create new designs.
We kindly ask that you shop with this in mind :) . Before hitting "buy," please double-check our size guide and product photos. By committing to your purchase, you're helping us reduce the environmental and financial strain that unnecessary shipping creates.
We have a 30-day return policy, which means you have 30 days after receiving your item to request a return.
2. EU Right of Withdrawal (14-Day Window)
In accordance with EU law, you have the right to withdraw from your purchase within 14 days of receiving your order.

To meet this deadline, you must notify us of your intent to return the item via sophroneoclothing@gmail.com within this 14-day window.

Once notified, you have a further 16 days to ship the item back to us.
3. Return Conditions
If you truly must return your item, the following conditions must be met:

Original Security Tags Intact: Returns are strictly only accepted if the original hangtags and security seals remain attached and un-clipped. If the tag is removed, the item is yours to keep.

Unworn & Original Condition: The item must be free of scents (perfume/detergent), pet hair, and signs of wear.

Pre-Shipment Inspection: Every order is inspected and recorded via video prior to sealing to ensure it leaves us in perfect condition. Claims of "received damaged" will be cross-referenced with our shipping archives.

Return Period: Requests must be made within 14 days of delivery.

4. Return Shipping & Fees
As a small business, we are currently unable to offer "free returns."

Shipping Costs: Customers are responsible for the cost of return shipping. We strongly recommend using a tracked service, as we cannot be held responsible for items lost in transit.

Restocking: A small restocking fee of [€5.00] will be deducted from your refund to cover the labor of re-inspecting and re-processing the garment into our inventory.
5. How to Start a Return
If you’ve decided a return is necessary, please reach out to us at sophroneoclothing@gmail.com with your order number. We’ll guide you through the next steps to ensure the process is as smooth as possible.
6. The Refund Process

Processing Time: Once we receive and inspect your return (this takes up to 30 business days), we will notify you of the approval or rejection of your refund.

Refund Amount: Approved returns will be refunded the full purchase price of the hoodie.

Return Shipping: As we provide free shipping to you, the cost of return shipping is the responsibility of the customer. We strongly suggest using a tracked service; we cannot refund an item we never receive.

Restocking Fee: A small €5.00 processing and restocking fee will be deducted from your final refund to cover the manual labor involved in re-inspecting and re-folding the garment.
Please remember it can take some time for your bank or credit card company to process and post the refund too.

7. Transit Damage & Courier Claims
Under EU law, we are responsible for your order until it is in your hands. However, to resolve claims of transit damage, we require your immediate cooperation:

24-Hour Reporting: If your package arrives damaged (crushed, torn, or wet), you must notify us within 24 hours of delivery.

Evidence Required: You must provide clear photos of the external shipping box and the damaged garment. Without photos of the packaging, we cannot file a claim with the courier, and your claim may be denied.

Our Proof: We archive HD video logs of every hoodie being packed into its shipping bag/box. We use these records to verify the condition of the item prior to transit and to protect against fraudulent damage claims.
Damages and issues
Sophroneoclothing is not responsible for damaged packaging. Once the product has been transferred to the postal carrier, please contact the shipping provider to open a dispute.
Please inspect your order upon reception and contact us immediately if the item is defective, damaged or if you receive the wrong item, so that we can evaluate the issue and make it right.
Exceptions / non-returnable items
Unfortunately, we cannot accept returns on sale items.
Exchanges
The fastest way to ensure you get what you want is to return the item you have, and once the return is accepted, make a separate purchase for the new item.
Order cancellations
All sales are final. Orders cannot be cancelled once placed.
